Privacy Notice

This notice is to explain how we may use personal information we collect before, during and after your membership with us. This notice applies to you if you have registered to play the BGCL or are a member of one of our clubs in the BGCL. This notice explains how we comply with the law on data protection, what your rights are and for the purposes of data protection we will be the controller of any of your personal information. Currently, all participating teams and players who are registered with the BGCL and respective clubs are classed under active membership of the league. We are also committed to respecting your privacy.
References to we, our or us in this privacy notice are to the The British Gorkhali Cricket League (BGCL). We also may collect personal information about you from any third party references you provide as part of the application process for membership
What is this personal data used for? ---- We use members’ data for the administration of your membership; the communication of information and the organisation of matches and other events.
What personal data does The British Gorkhali Cricket League (BGCL) collect? ---- The data we collect includes members’ names, addresses, email addresses, dates of birth, along with contact details for next of kin in case of emergency (if needed), identification documents such as passport and identity cards, records of your attendance at any events hosted by us, records of your interactions with us such as telephone conversations, emails and other correspondence and your instructions to us, any disciplinary and grievance information, Records and information collect via Play Cricket and, CCTV footage and other information obtained through electronic means, images in video and/or photographic form and voice recordings. We collect this data directly from our members or team captains. For some of our members we may have additional information such as any health issues that are relevant to playing cricket, Board and admin memberships and, occasionally, DBS checks done with your knowledge and permission.
Who is your data shared with?---- Some of your data will be available for use by carefully selected partners and sponsors of the BGCL (if applicable). They are not free to pass this on to other organisations.
Where does this data come from? ---- Data for all of our members comes from their BGCL’s membership/application forms at the time they joined via application form, with their updates. Members can also do this individually by contacting the League Secretary or via team captains. Team captain need to provide fully completed BGCL’s membership/application forms to League Secretary or Chairperson at an allocated time.
How is your data stored? ---- Most of our data, including our main membership database, is stored in digital form on computers.
Who is responsible for ensuring compliance with relevant laws and regulations? ---- Under the GDPR (General Data Protection Regulation) we do not have a statutory requirement to have a Data Protection Officer. The Management Team is responsible for ensuring that BGCL discharges its obligations under the GDPR and is responsible for maintaining a log of data breaches and notifying the ICO and any members affected as necessary, in accordance with our legal obligations.
Who has access to your data? ----- Members of the BGCL admin team members have access to members’ data in order for them to carry out their legitimate tasks for the BGCL, such as responding to enquiries from those members. Members of the admin team will be given access to this data for any legitimate purpose to do with their roles as officers of the organisations or members of their committees, but will not be free to pass it on to any other organisation. They will also audit these information with team captains for any correspondence or investigation.
What is the legal basis for collecting this data? ---- The BGCL collects personal data that is necessary for the purposes of its legitimate interests as a membership organisation and as the authority of an internationally recognised and regulated, competitive sport. Personnel data is kept in compliance with our legal obligations.
How can you ask for data to be check, removed, limited or corrected? ---- Please contact League Secretary to make any updates to your data, or if you want it removed. Clearly if it is removed, you will no longer receive any communications from the BGCL.
How long we keep your data for, and why? ---- We normally keep members’ data after they resign or their membership lapses. This is because we find members sometimes later wish to re-join (occasionally after several months, years, etc.). However, we will delete any former member’s contact details entirely on request. Members details can also be removed if they are expelled from the league.
What happens if a member dies? ---- We normally keep members’ information after they die. If requested by their next-of-kin to delete it we will do so on the same basis as when requested to remove data by a former member.
What happens if you do not comply with the league’s GDPR compliance requirements? ----- For some of your personal information you will have a legal, contractual or other requirement or obligation for you to provide us with your personal information. If you do not provide us with the requested personal information we may not be able to admit you as a member or we may not be able to properly perform our contract with you or comply with legal obligations and we may have to terminate your membership. Where you have given us your consent to use your personal information in a particular manner, you have the right to withdraw this consent at any time, which you may do by contacting us as described in the “Contacting us” section below. Please note however that the withdrawal of your consent will not affect any use of the data made before you withdrew your consent and we may still be entitled to hold and process the relevant personal information to the extent that we are entitled to do so on bases other than your consent. Withdrawing consent may also have the same effects as not providing the information in the first place, for example we may no longer be able to provide certain member benefits to you such as taking part into the representative games, etc.
Changes to this Privacy Notice ---- We may update this privacy notice from time to time as per updated requirements, etc. For significant changes to this notice we will try to give you reasonable notice unless we are prevented from doing so. Where required by law we will seek your consent to changes in the way we use your personal information.
